Control - Members


The [Members] control supports direct selection of colleagues or personal friends in your contacts. Also, you can notify the selected person and give the selected person administrative permissions to this record.

Setting Details

1. Quantity: single or multiple choice   

Single selection means that only one person can be selected, multiple selection means that more than one person can be selected. It can be switched after saving.

2. Default value

The person selected by default when creating a record. You can set it to a fixed person, or the creator of the record (current user), to get the person selected by other member fields.

3. Permissions of the selected person

  • Members: The selected person is given membership of this record.
  • Owner: The selected person is given the same status as the owner of the record.
  • For data storage only: Like a text field, it is entered as data only.

As a member and record owner, the user does not really have to be able to view or manage the record, but also needs to combine the permissions of the role. View more details

4. Members allowed to select

If checked, when users select people, only those within the range will be displayed. For example, when a sales assistant is assigning leads, only those from the sales department can be selected, then the sales department can be checked here.

You can select a member/department/organizational role field, which contains people as an optional range.

  • Selects the current user's department, which contains people from the lower-level department.

  • Select the specified department. When selecting members, only members in this department or these departments can be selected (including subordinate departments, even if the subordinate departments are not checked).

Note: It supports mixed multi-selection of members, departments, and organization roles, and the people who can be selected are their concatenation.

This feature is not available in the members field of the external portal.

5. Notified when join

If checked, when a person is selected in the record, this person will receive a notification.

Effect:

If you check [Owner], [Notified when join] is checked by default.
